Atlas Fund Services - Senior Investor Relations Officer

Job Description

The SIRO is a representative of Atlas Fund Services’ Investor Relations Department and is the main contact person and team leader for the Investor Relations Officers (IROs) that are under his/her direct report. This position will ensure the department provides exceptional customer service, performs shareholder record keeping and accurately reports shareholder information to numerous parties for all funds falling under their responsibility. The SIRO is responsible for supervising and guiding their respective IRO team.

Responsibilities

  • Responsible for the setup of new funds in PFS system for review by Head Investor Relations;
  • Handle transition of new funds liaising with all related parties;
  • Handle incoming phone calls, emails and faxes primarily from shareholders consisting of, but not limited to fund prices, performance and fund documents
    in a timely and professional manner;
  • Respond to queries from fund accountants and Investment Managers consisting of, but not limited to trades processed in PFS, broker wires, etc.
  • Prepare response letters and/or place outbound phone calls to clients on issues of more complicated nature e.g. issues that require in-depth sorting out;
  • Creating, maintaining, and continuous monitoring client files for compliance and due diligence purposes;
  • Track pending and unresolved requests for resolution purposes of their respective IRO team;
  • Sign off on any additions and amendments in the client’s and fund’s data populated in PFS, including but not limited to setup of new series/classes, new wire instructions, address changes, etc.
  • Ensure trade is in compliance with Fund Offering Document;
  • Ensure subscription monies have been received in accordance with the funds rules (PPM) and the AML policies in place;
  • Ensure proper SWIFT or other similar confirmation has been received for each subscription;
  • Review payments and instruct on redemption payments;
  • Check available balances and request funds to pay redemptions;
  • Execute redemption payments;
  • Review & sign off of trade packages to ensure that all transactions have properly been booked in PFS, completed correctly and all relevant documents have been added to the trade package;
  • Check incoming faxes on S:drive against trades booked in PFS;
  • Review Board Resolutions and follow up on outstanding items;
  • Reconcile relevant balances between PFS and resolve issues
  • Approve faxes (confirmations, and statements) and e-mails
  • Review and approve E-faxes and e-mails prepared by the IRO
  • Customize Fund correspondence templates in PFS
  • Check audit confirmations
  • Review new/revised fund documents
  • Run Series Consolidation
  • Review and sign-off of contract notes prepared by the IROs
  • Meet or exceed internal and external quality standards for exceptional customer service
  • Prepare monthly report for review by Management
  • Ensure adherence to Compliance Regulations
  • Any other duties which the organization may require as part of the business of Atlas Fund Services

Requirements

Minimum Education: Bachelor’s degree in business economics, business administration or business-related area.

  • Computer literacy is essential, such as MS Excel and MS Word;
  • 3- 4 year of relevant work experience;
  • Clean desk policy must be adhered to.
